We worked with our corporate client on a two day conference, branding experience, logistical management, a food and beverage networking area, comprehensive health and safety planning and execution, as well as full service off-site opening and closing receptions, including sponsor activations in Los Angeles California for 1500 guests.


Working closely with several of the client’s internal departments we created and executed branded and impactful experiences at seven locations, including the Los Angeles Convention Centre (LACC), The InterContinental L.A. Downtown, and the Midwest Backlot at Warner Bros. Studios.


Our scope included five welcome experiences, a food and beverage networking area, business sessions concierge and management services, opening reception, closing reception, a comprehensive health safety security and environmental (HSSE) plan, and collaboration with several of the client’s other production and incentive partners.

  • The Experience

    Logistics

    We developed a comprehensive Health Safety Security and Environmental (HSSE) Plan with the client's safety team. We conducted on-site orientations at all three locations - The InterContinental L.A. Downtown, Los Angeles Convention Centre (LACC), and Warner Bros. Studios.


    We worked with the client's branding department on the overall brand integration into the conference Welcome Experience, F&B Networking Area, Business Sessions and off-site social events.


    Branding included, door/window/floor decals throughout, large-scale banners, pillar wraps, pop up and leader board structures, help desks, podiums, full registration and draped off BOH areas. 


    We oversaw the client's incentive's partner for the registration, accommodation and transportation, in addition to managing the decor and set up of hotel registration/check in at the four host hotels around downtown L.A. as well as at the LACC. 


    Our production and stage management team collaborated with the client's education team for the business session stage set ups, rehearsals, and staffing, including a concierge desk. 


    F&B Networking Area

    For the two day conference, we managed the design and logistics of the F&B Networking Area located between the main keynote theatre and the trade show floor. 


    The area included seating and perch point hubs with multiple different seating styles with a custom linen and chair cover design to compliment the brand. 


    A variety of food and beverage stations situated around the trade show floor allowed for easy access and included four food trucks, two marketplaces with grab-and-go food and beverages,  and three custom kiosk stations for salads, Mexican fare, and healthy bowls.


    Branding included double sided custom information towers with schedules and directional information, large-scale menu boards and kiosk branding, as well as a bevy of directional t-stands.


    In addition to the F&B Networking Area, we managed all crew and guest meals, the keynote theatre, breakout rooms, additional working spaces, green rooms, VIP meet and greets, and a partner thank you breakfast.


    Opening Reception

    The opening night reception was held at The InterContinental Downtown L.A. - a new, unique contemporary property in the heart of Downtown Los Angeles with a fabulous pool deck and reception space on the 7th floor. This outdoor location set the scene for networking. 


    With no beach or Hollywood Sign in sight we capitalized on the unique location and contemporary feel of this new hotel property and the outdoor, stylish feel of the pool deck. Electric Hollywood tied old and new L.A. together. 


    We focused on the little details and creative touches as guests came and went at the reception, such as contemporary palm tree graphics, tropical fabrics and centrepieces, neon and LED highlights, varied seating pods to highlight the pool, cabana, and ballroom areas. Branding was minimal - highlighted on menus and signage, and featured on a custom hedge-wall bar back. 


    The entertainment included a harpist band in the ballroom, a modern DJ remixing classic music on the pool deck, and a photo-booth that put guests images on their drink!


    Closing Reception

    There is nothing quite as exciting as celebrating together on an actual studio backlot in Los Angeles! The Warner Bros. Studio Experience was a night to remember for the closing reception and celebration. 


    With our Winning Together brand for the National Conference we selected the Midwest Backlot at the studio as it represented “everywhere” USA. A collection of quaint business and residential streets, city hall, church and clock tower all punctuated by a central park gathering space. It was also the location for some iconic movies and television series.


    A main stage on the steps of city hall, a bounty of clever food and beverage services, as well as interactive activities were all a part of the experience including, studio tours, a Joan Rivers impersonator to give you the red carpet feel as you enter the photo booth inside the iconic church, multiple sponsor activations, hip hop buskers around the neighbourhood streets, a meet and greet with a basketball legend, a flame fuelled food station, a guitar/vocal busker inside the town gazebo, lemonade and hot dog stands, and a marching band parade leading into the headlining show by Lynyrd Skynyrd - to name just a few!

  • Whizbang Moment

    A tunnel of staff cheering, and our Joann Rivers impersonator red carpet interviewing the guests from a stranded shuttle when it finally arrived at the closing night recpeption to lift their spirits and provide an extra grand welcome!
